  • Meeting bookings. When you book a meeting through the scheduling calendar on our contact page, we collect your name, email address and anything you choose to tell us about your inquiry. This information is provided voluntarily by you.
  • Email you send us directly. If you email us rather than booking a meeting, we hold that message and your contact details in order to reply.
  • Automatically collected data. When you visit our website, we may automatically collect certain technical information such as your IP address, browser type, device type, operating system, referring URL, pages visited, and the date and time of your visit. This data may be collected through cookies and similar technologies.

How We Use Your Information

We use the information we collect to:

  • Respond to inquiries and meeting requests you send us
  • Understand how visitors interact with our website so we can improve the user experience

Neither receives your name or email address, and we do not use them to identify you personally. These cookies help us improve how our website works.

These cookies may be used in the future to deliver advertisements relevant to you and your interests, measure the effectiveness of advertising campaigns, and limit the number of times you see an advertisement. Third-Party Services

We use third-party services that may collect data in connection with this website, including:

  • Google Analytics and Google Tag Manager. We use Google Analytics to understand website traffic and how visitors move through the site. It collects data through cookies and processes it in accordance with Google's privacy practices. Google Tag Manager loads Google Analytics and the other measurement tools listed here; it sets no cookies of its own and collects nothing on its own behalf.
  • Microsoft Clarity.We use Clarity to record individual browsing sessions, such as cursor movement, scrolling and clicks, so we can see where pages are confusing or broken. Anything you type into a form field or select from a drop-down menu is masked before it leaves your browser and is never sent to Clarity, and we have Clarity additionally configured to mask numbers and email addresses appearing in page content. Clarity processes this data in accordance with Microsoft's privacy practices.
  • Cal.com. The scheduling calendar on our contact page is provided by Cal.com. When you book a meeting, the name, email address and any details you enter are submitted to Cal.com in order to create the appointment, and Cal.com sets its own cookies within that calendar. The calendar runs in a separate window from another provider, so what you enter there is not visible to Microsoft Clarity or to any other script on our site. We use Make, an automation service, to copy the resulting booking details into our own business records. Cal.com and Make each operate in accordance with their own privacy practices.
  • Google Maps and YouTube. Our contact page embeds a Google Map showing our office location, and some of our work pages embed videos hosted on YouTube. These are loaded from Google and may set cookies or record that your browser requested them. We use YouTube's privacy-enhanced embed mode, which limits the data YouTube collects unless you play a video.
  • Vercel and Sanity. Our website is hosted on Vercel, and our written content and images are stored in and delivered from Sanity. Both may collect server logs and performance data, which can include your IP address, in accordance with their privacy practices.

These third-party services operate under their own privacy policies. We encourage you to review them to understand how your data is handled. Caplan Communications is not responsible for the privacy practices or content of third-party services.

Data Retention

We retain booking details and inquiries for as long as reasonably necessary to respond to you and maintain business records. Analytics and session data is retained in accordance with the settings of the services described above.

Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

Your Rights

You may request access to, correction of, or deletion of personal information we hold about you.

Depending on your jurisdiction, you may have additional rights under applicable privacy laws, including the right to know what personal information is collected, request deletion, or limit certain uses of your data.

Do Not Track Signals

Some browsers offer a “Do Not Track” signal. Our website does not currently respond to those signals.
